JobTotal Limited - Privacy Policy

This Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your information when You use the Service.  JobTotal pledges to meet fully with the requirements of the Personal Data (Privacy) Ordinance, Chapter 486 of the Laws of Hong Kong.  In doing so, We will ensure compliance by Our officers and staff to the strictest standards of security and confidentiality in respect of all personal information and data submitted by You.

We use Your Personal data to provide and improve the Service.  By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.  Therefore, You are strongly recommended to read this Privacy Policy carefully and the terms herein may be updated, revised, varied and/or amended from time to time as We may deem necessary and/or appropriate.


Interpretation and Definitions


The words of which the initial letter is capitalized have meanings defined under the following conditions.

The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.


For the purposes of this Privacy Policy:

·        You/User  means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.

·        Job Seeker means users who seeking employment.

·        Company  (referred to as either "the Company", "We", "Us" or "Our" in this Agreement) refers to JobTotal Limited, Room 1008, 10/F, New East Sun Ind Building, 18 Shing Yip Street, Kwun Tong, Kowloon, HK.

  • Application  means the software program provided by the Company downloaded by You on any electronic device, named JobTotal/JobTotal Employer.
  • Affiliate  means an entity that controls, is controlled by or is under common control with a party, where "control" means ownership of 50% or more of the shares, equity interest or other securities entitled to vote for election of directors or other managing authority.
  • Account  means a unique account created for You to access our Service or parts of our Service.
  • Service  means any website, job portal or mobile application owned and operated by the Company and is affiliates/subsidiaries or its service providers.
  • Country refers to: Hong Kong

·        Service Provider  means any natural or legal person who processes the data on behalf of the Company.  It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used.

  • Third-party Social Media Service  refers to any website or any social network website through which You can log in or create an account to use the Service.
  • Advertisers means user You who places a job advertisement or promotes any job related activities in Our Service.

·        Personal Data  is any information that relates to an identified or identifiable individual.

  • Device  means any device that can access the Service such as a computer, a cellphone or a digital tablet.
  • Usage Data  refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).


Collecting and Using Your Personal Data

Personal Data

While using Our Service, We may ask You to provide Us with certain personally identifiable information that can be used to contact or identify You.  Personally identifiable information may include, but is not limited to:

  • Email address
  • First name and last name
  • Mobile phone number
  • Hong Kong residence area
  • Usage Data

Usage Data

Usage Data is collected automatically when using the Service.

Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

When You access the Service by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device You use, Your mobile device unique ID, the IP address of Your mobile device, Your mobile operating system, the type of mobile Internet browser You use, unique device identifiers and other diagnostic data.

We may also collect information that Your browser sends whenever You visit our Service or when You access the Service by or through a mobile device.

Information Collected while Using the Application

While using Our Application, We must receive or collect some information to operate, provide, improve, understand, customize, support, and market Our Service, including when You install, access, or use Our Service.   The types of information we receive and collect depend on You use Our Service  We require certain information to deliver Our Service and without this We will not be able to provide Our Service to You.  For example, You must provide your mobile phone number to create an account to use Our Service.  Therefore, in order to provide features of Our Application, We may collect, with your prior permission:

  • Full name
  • Login ID and password
  • Hong Kong residence area
  • Information regarding your location
  • Email address
  • Mobile phone number
  • Age
  • Gender
  • Country of residence
  • Nationality
  • Education level
  • Work experience
  • Resume
  • Pictures and other information from your Device's camera and photo library
  • Additional personal information and/or data in connection with contests, surveys, or special offers

Our Service have optional features which, if used by You, require us to collect additional information to provide such features.   You will be notified of such collection, as appropriate.  If You choose not to provide the information needed to use a feature, You will be unable to use the feature.  For example, You cannot share your personal documents i.e. reference letter from previous employer if You do not permit us to collect your files data from your device.   The information may be uploaded to the Company's servers and/or a Service Provider's server or it be simply stored on Your device.

You can enable or disable access to this information at any time, through Your Device settings.

Only duly authorized staff of Us will be permitted to access Yours’ personal information and data, and We shall not release such personal information and data to any third parties save and except for the circumstances listed out under the section headed “Disclosure/Transfer of Your Personal Data”.


We collect the company name, business address and billing address of Advertisers.  It also collects the name, email address and mobile phone number of a primary contact.   Advertisers can change the company name, billing address, or any other details by contacting Us.  We use these details to manage your account, including sending Advertisers applications of candidates, contacting Advertisers if there is an issue with their job ad and organizing payment and invoicing of the account.

Online Applications

When You making an online application to a job advertisement is a free and optional service that requires You to complete mandatory fields (for example first name, last name, phone and email) so that Advertisers can identify and contact the applicants.  When you apply for a job advertisement, including attachments and resume, are:

  • Forwarded directly on to the Advertiser and/or its nominated representative; and/or
  • Stored in Our recruitment centre on behalf of the Advertiser.

We allow Advertisers to easily and effectively manage their recruitment process via one central facility made available by Us.

By applying to a position advertised in the Service you are requesting that We pass the information you provide to the relevant Advertiser and/or their nominated representative. Any questions you have relating to a position advertised in the Service, your online application and/or the status of your application should be directed directly to the Advertiser or their nominated agent, not Us.

Any Personal Information retained by Us as part of your application will only be used in accord with this Privacy Policy.  The use of your information (personal or otherwise) by Advertisers is not within the control of Us and if you have any questions about how an Advertiser uses your personal information or want to request access to any personal information that you have sent as part of an application or that has been provided to them as part of a JobTotal Profile (as defined below), you have the right to contact that Advertiser directly.

Your Messages in Interview Box (IB)


We offer encryption protocol for our Service.  Encryption means that your messages are encrypted to protect against Us and third parties from reading them.  Encryption ensures only you and the person you’re communicating with can read or listen to what is sent, and nobody in between, not even JobTotal.   This is because with encryption, Your messages are secured with a lock, and only the recipient and You have the special key needed to unlock and read them.  All of this happens automatically: no need to turn on any special settings to secure your messages.


When Job Seeker sent the message to Advertiser , once the message is received, it will be subject to the Advertiser ’s own privacy practices.   The Advertiser may designate a number of employees, or even other vendors, to process and respond to the message.


JobTotal Profile

We provide all Registered Users to creating a personal JobTotal Profile (“JobTotal Profile”).  A JobTotal Profile can include a resume, employment and educational history, contact details, salary expectations, and preferred job classifications and locations.  Advertisers who are approved by Us are able to search JobTotal’s Profile database to find and contact relevant candidates.  We provides Registered Users with choice in relation to the access granted by Us to Advertisers in respect of their JobTotal Profiles and Registered Users can elect the JobTotal profile You wish to share (if any) with Advertisers based on the following privacy settings:

  • Standard: If you set your JobTotal Profile to standard, your Profile and resume and contact details, can be seen by Advertisers searching JobTotal’s Profile database.  Relevant content from the resume attached to your profile such as employment roles, descriptions of responsibilities and tasks, and educational history including schools, fields and periods of study, may also be scanned by Us and presented to advertisers in the Profile database.  Additionally, if an Advertiser wishes to purchase access to your JobTotal Profile, your full JobTotal Profile including your resume and contact details will be disclosed immediately to the relevant Advertiser.  Advertisers may also elect to send you a copy of the job opportunity for which they are recruiting.
  • Hidden: If you set your JobTotal Profile to hidden, your Profile, is completely hidden (thereby preventing Advertisers from viewing your Profile unless You applied the job directly).  Your Profile will be stored in the ‘Profile’ area and you may alter the privacy settings at any time.  Advertisers cannot search your profile or send you job opportunities.

When You have applied for jobs directly or respond directly to the job invitation sent to you by Advertiser, that Advertiser will have access to your up-to-date profile, including Your resume and contact details (as updated by you from time to time).

All information provided when creating a JobTotal Profile (including your name, resume, email address, telephone numbers, employment and educational history) may be used by Us for the purpose of improving placement opportunities for you or for tailoring specific products to you.

Registered Users can modify the owned JobTotal Profile, resume or modify the privacy options in relation to their JobTotal Profile at any time, by going to the Profile area of Us.

Cookies and Log Files


We do not collect any personally identifiable information from You whilst You visit and browse the Service.  When You access the Service, We record Your visits only and do not collect Your personal information or data.  Our server software will also record the domain name, server, address and track the pages You visits and store such information in “cookies”, and gather and store information like internet protocol (IP) addresses, browser type, referring/exit pages, operating system, date/time stamp, and clickstream data in log files,  All these are done without You being aware that You are occurring.


You can choose to accept or decline cookies.   Most web browsers automatically accept cookies, but You can modify Your individual browser settings to decline cookies if You prefer.  However, You should note that disabling cookies on Your browser may prevent them from taking full advantage of the Service.


We do not link the information and data automatically collected in the above manner to any personally identifiable information.   We generally uses such automatically collected information and data to estimate the audience size of the Service, gauge the popularity of various parts of the Service, track Yours’ movements and number of entries in Our promotional activities and special events, measure Yours’ traffic patterns and administer the Service.  Such automatically collected information and data will not be disclosed save and except in accordance with the section headed “ Disclosure/Transfer of Your Data”.


In addition, Our third party advertising companies may place cookies on some of the pages You visit.  These cookies are designed to collect non-personally identifiable information in order to analyze Yours’ interests and searches on the Service to help deliver more relevant advertisements when You visit Us and other websites.  The non-personally identifiable information collected by these cookies may be shared with other third parties for purpose of managing and targeting advertisements and for market research analysis.



Use of Your Personal Data

The Company may use Personal Data for the following purposes:

  • To provide and maintain our Service , to assist You to find appropriate employment with Employers and to assist Employers to assess the suitability of candidates for job vacancy for a wide spectrum of jobs and industries (including using artificial intelligence (“AI”) and data analytics in relation to personal information in order to improve JobTotal’s ability to find appropriate employment for You) ; including to monitor the usage of our Service.
  • To manage Your Account:  to manage Your registration as a user of the Service. The Personal Data You provide can give You access to different functionalities of the Service that are available to You as a registered user.
  • For the performance of a contract:  the development, compliance and undertaking of the purchase contract for the products, items or services You have purchased or of any other contract with Us through the Service.
  • To contact You:  To contact You by email, telephone calls, SMS, or other equivalent forms of electronic communication, such as a mobile application's push notifications regarding updates or informative communications related to the functionalities, products or contracted services, including the security updates, when necessary or reasonable for their implementation.
  • To provide You  with newsletters, job openings, special offers and general information about other goods, services and events which we offer that are similar to those that you have already purchased or enquired about unless You have opted not to receive such information.
  • To manage Your requests:  To attend and manage Your requests to Us.
  • To verify the identity of You who have posted advertisements, materials, representations, messages, views or comments or such other information.
  • To identify You who have viewed and information posted.
  • For purposes other than the above mentioned which are related to Affiliates’ provision of and or marketing of their product and/or services as We may deem fit.

We may share Your personal information in the following situations:

  • With Service Providers:  We may share Your personal information with Service Providers to monitor and analyze the use of our Service, to contact You.
  • For Business transfers:  We may share or transfer Your personal information in connection with, or during negotiations of, any merger, sale of Company assets, financing, or acquisition of all or a portion of Our business to another company.
  • With Affiliates:  We may share Your information with Our affiliates, in which case We will require those affiliates to honor this Privacy Policy.  Affiliates include Our C ompany and any other subsidiaries, joint venture partners or other companies that We control or that are under common control with Us.
  • With Business partners:  We may share Your information with Our business partners to offer You certain products, services or promotions.
  • With other users:  when You share personal information or otherwise interact in the public areas with other users, such information may be viewed by all users and may be publicly distributed outside.  If You interact with other users or register through a Third-Party Social Media Service, Your contacts on the Third-Party Social Media Service may see Your name, profile, pictures and description of Your activity. Similarly, other users will be able to view descriptions of Your activity, communicate with You and view Your profile.

Retention of Your Personal Data

We will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy.  We will retain and use Your Personal Data to the extent necessary to comply with O ur legal obligations, meet regulatory requirements, resolve disputes, prevent fraud and abuse, or enforce Our legal agreements and policies.

We will also retain Usage Data for internal analysis purposes.  Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of Our Service, or We are legally obligated to retain this data for longer time periods.

Transfer of Your Personal Data

Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located.  It means that this information may be transferred to — and maintained on — computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from Your jurisdiction.

Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.

Our Service may contain links to other websites that are not operated by Us.  If You click on any advertisement or a third party link, You will be directed to that third party's site which grants You access to another website, the protection of Yours personal information and data which are deemed to be private and confidential may be exposed in these other websites.  We strongly advise You to review the Privacy Policy of every site You visit.

Non-registered Users who gain access to Our Service via their accounts in online social networking tools (including but not limited to Facebook and Google) are deemed to have agreed to the terms of this Privacy Policy, and such Users’ personal data which they have provided to those networking tools may be obtained by Us and be used by Us and its authorized persons in and outside of the User’s country for the purpose of providing services and marketing materials to the Users (except where express consent is required by law).

We have no control over and assume no responsibility for the content, privacy policies or practices of any third-party sites or services.



We post Yours’ testimonials on the Service, which may contain personally identifiable information such as the Yours’ names.  We do obtain Yours’ consent prior to posting the testimonials to post Your names along with Your testimonials.

Disclosure of Your Personal Data

Business Transactions

If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.
